The Colorado Municipal League provides information on this website as a service to both its members and to the general public.
However, the information provided on this website is not intended, and should not be considered, as legal advice or as a substitute for the advice and counsel of a licensed attorney. Because of the rapidly changing nature of the law and our reliance upon information provided by outside sources, the Colorado Municipal League cannot and does not make any warranty or guarantee concerning the accuracy or reliability of the content on this website or on any other website to which this website is linked. Also, any links to third party websites are provided exclusively for convenience and should not be interpreted as an endorsement, sponsorship, or recommendation of the third-party website. The Colorado Municipal League’s privacy policies do not apply to such external websites.

Use of IP Addresses

We log the IP address associated with your computer at the time of your visit to monitor the traffic to various areas of our web site and to help us diagnose any problems with our server. Your IP address may also be used to gather broad demographic information such as the name of your internet service provider and its geographic location.

Use of "Cookies"

A "cookie" is a small text file that reports user and page activity. "Cookies" do not pose a threat to your computer, your web browser, or the software installed on your system. They do not contain viruses, and the information provided is not used beyond the general analytical review of page visits. Information gathered through the use of "cookies" is not sold or provided to vendors, direct mail concerns, e-mail list services, etc. The Colorado Municipal League cannot control the use of "cookies" by sites linked to our site or to vendor(s) sites that have purchased banner advertisements. The Colorado Municipal League is not responsible for the privacy practices or the content of such sites.

We may use session cookies (not stored after you exit our site) or persistent cookies (stored after you exit) to track session ID and maintain user session identity, which enables us to control colors, store login information and user preferences, and to enable the shopping cart feature.

If you use the "share" feature, we do not capture your e-mail address or the e-mail address of the "friend"/recipient. Those portions of our site which use encryption (as indicated by a closed lock symbol or the equivalent on your browser) collect sensitive information such as credit card numbers. We use such information, which is kept separate from other information we collect, only for the purposes related to the transaction for which you supply the information. We do not disclose such information to others for unrelated purposes. If you provide information to us offline (e.g. postal mail or fax), this privacy policy does not apply, even if you use a form you downloaded from this web site.

Application Data

If you use our application(s) we also may collect the following information if you choose to provide us with access or permission:

  • Mobile Device Access. We may request access or permission to certain features from your mobile device, including your mobile device's calendar, camera, contacts, storage, and other features. If you wish to change our access or permissions, you may do so in your device's settings.
  • Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). If you wish to opt out from receiving these types of communications, you may turn them off in your device's settings.

This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Mobile App

The Colorado Municipal League uses a mobile application, CML Events, for the Annual Conference and other events. Along with CML, the mobile application provider also maintains a privacy policy regarding its collection, use, disclosure, and protection of data.
This privacy policy explains the Colorado Municipal League’s practices regarding the collection, use, disclosure, and protection of your information in connection with the CML Events app, in addition to other provisions of the privacy policy. By downloading and installing the CML Events app, you consent to the terms of the privacy policy and agree to the collection, use, and disclosure of your personal information by the Colorado Municipal League as provided in this policy. Please do not use the CML Events app if you do not agree with the terms of this policy.

What data do we collect?

In the CML Events app, the Colorado Municipal League may upload the following attendee information: first, middle, and last name; title; organization; city and state; headshot; and bio. Users can edit this information within the app or remove themselves from being displayed in the attendee list.

The CML Events app collects and uses the following information. This list is not exhaustive, and additional data may be collected for the purposes identified in this policy.

  • User Profile Information: The initial information uploaded/provided by the Colorado Municipal League can be accessed by the user, and the user can edit/delete their profile information.
  • User Profile Image (headshot): An image of a user may be uploaded/provided by the Colorado Municipal League and displayed in an attendee list and user profile. The user can access this image and edit/delete/upload their profile image (headshot).
  • User Device Information: When a user installs the CML Events app, the Colorado Municipal League or the app provider may collect your device information from your mobile device. This information is collected to help generate app adoption analysis and enhance product performance and monitoring.
  • Graphics and Images: If the social posting feature is configured, users can post graphics and images in social posting. This information is strictly based on user input and can be removed based on request.
  • User App Engagement Activities: The Colorado Municipal League and the app provider may capture users’ app feature usage to generate engagement rankings to encourage app adoption.
  • Surveys/Polls/Q&A: Information provided in response to surveys, polls, or as part of Q&A functionalities will be accessible to the Colorado Municipal League. Responses will become anonymous if a user is not logged into the CML Events app.
  • Gamification/Scans: If a user uses the CML Events app camera to scan any session or exhibitor QR code, the user is explicitly giving access to the Colorado Municipal League, presenter, or exhibitor to your profile information. If a user allows exhibitors, event staff, or other attendees to scan their app profile QR code or badge QR/Bar code, the user is explicitly giving them access to your profile information.
  • Networking/Chat: If the CML Events app enables private messaging or chat features, it will use your device, name, and headshot to establish the communication channel for the message engine. A user can opt out of this feature upon sign-in or through app at settings any time.
  • Analytics: The CML Events app uses third-party services for app usage analytics and passes your device information and name to the analytics engine to track app analytics. The Colorado Municipal League can use such information to better prepare for and plan future events for the attendees and other stakeholders.

Data Retention and Deletion

  • CML retains user personal information only so long as needed for the purposes for which it was collected, for the products and services used within the app, or to meet any legal requirements.

Do we share information with other parties?

User personal information is not sold or traded to any third party. By using this app, you agree to share the information collected with:

  • Sponsors: The CML Events app may share user data with sponsors to facilitate event planning, management, and sponsorship activities. This could include providing organizers with attendee lists, demographic information, and engagement metrics to help them understand and enhance the event experience.
  • Other app users: User information will be visible to other conference attendees using the app via the attendee list profile. By scanning the attendee badge QR code,, the user explicitly grants access to their personal information. The above information is only available to other users with the user’s settings and consent.
  • Third-Party Service Providers: The CML Events app may engage third-party service providers to perform various functions on its behalf, such as hosting the app’s servers, sending notifications, or analyzing user data. These service providers may have access to user data to the extent necessary to perform their services but are typically bound by confidentiality agreements and data protection obligations.
  • Integration Partners: The CML Events app may integrate with other third-party platforms or services to enhance its functionality or provide additional features to users. In such cases, user data may be shared with these integration partners to enable seamless integration and interoperability between systems.
  • Event Sponsors/Exhibitors: Based on app users’ behavior, user data may be shared with sponsoring partners and exhibitors. This could involve sharing anonymized or aggregated data to protect user privacy. When a QR code is scanned, or a user scans an exhibitor or session QR code, the user’s information will be shared with the exhibitor or the Colorado Municipal League.
  • Business Transfers: In the event of a merger, acquisition, restructuring, or sale of assets of the app provider, user data may be transferred as part of the transaction. The app provider will notify clients and users of any such changes and ensure that appropriate safeguards are in place to protect users’ rights and privacy interests.
  • Legal and Compliance Obligations: The CML Events app may share user data in response to legal requests, court orders, or government investigations or to comply with applicable laws, regulations, or legal processes. This could include sharing data with law enforcement agencies, regulatory authorities, or other third parties as required by law.

Online Surveys

From time to time, we conduct online surveys, which ask visitors for voluntary information on various topics of interest to the Colorado Municipal League. Information supplied for online surveys is used only by the Colorado Municipal League. It is not sold or provided to vendors, direct mail concerns, e-mail list services, etc.

E-mail Lists

Throughout our site, users are given the opportunity to freely subscribe to electronic mailing lists, which are subscription-based groups that send e-mail on certain content/topics to your e-mail account. The identity of subscribers and their corresponding e-mail addresses are not sold or provided to outside vendors, advertisers, direct mail concerns, other e-mail list services, etc. To unsubscribe to any e-mail list, send an e-mail to cml@cml.org asking to unsubscribe or modify your RSS feed requests accordingly.

Opt-Out

In the event that customer information is used to direct the Colorado Municipal League advertisements and announcements to
customers, registrants and online survey participants, the Colorado Municipal League will provide our users with the opportunity to opt-out of receiving communications from us at the point where we request information about the visitor.

Modifications/Deletions

Users may modify their information in our database or completely remove their information if they do not want to receive future
communications or to receive our services. You can send an e-mail to cml@cml.org to accomplish this.
